At Recollective, we're seeking a highly motivated Administrative Specialist to play a vital role in the day-to-day success of our organization. You'll work across all departments, providing crucial support that ranges from routine tasks to operational improvements. Role Responsibilities

  • Assist with Sales administration tasks, such as approving quotes, the creation of simple sales orders, reporting on customer usage or setting up customer demo sites
  • Support the Services team with administrative tasks, including scheduling new projects and maintaining accurate records
  • Develop and help maintain clear documentation for company processes and procedures, while also actively identifying areas for improvement and driving changes to enhance efficiency
  • Periodically report on administrative tasks and metrics to senior team members
  • Plan special functions and events, in accordance with our Company Sponsored Events Protocol. This may include vendor management, scheduling meetings, travel arrangements, etc. 
  • Assist with other general data entry and data management duties
  • Provide additional administrative support across departments as needed

Required Skills and Experience

  • 2-5 years work experience in an administrative support role
  • Post secondary education is considered an asset
  • Excellent written and oral communication skills. A strong command of the English language is essential to perform this role
  • Superb attention to detail and organizational skills
  • Ability to work independently with little or no supervision
  • Superior time management skills with a demonstrated ability to multitask and prioritize competing demands
  • Highly proficient at using Microsoft Excel
  • The ability to confidently and effectively work with Directors and the Executive team
  • Advanced computer literacy and experience with cloud-based office software such as Google Office Suite or MS Office. Knowledge of CRM systems (Salesforce) and emerging AI tools is a strong advantage

 Location

This position is open to all applicants located in British Columbia and willing to work within the Pacific Time Zone. While we welcome applications from across the province, we have a strong preference for candidates located in or near the Greater Vancouver Area.
